Acceptable use policy

Version 0.2 (draft for review) · effective TBC

Draft. Not in force until published.

1. About this policy

Our address only works for you if it keeps a good name. This policy sets out what you can and can’t do with your MailStreet address and mail service. It forms part of our terms of service and applies to you, your team members, and anyone visiting us for you.

2. What you can use your address for

You can use your address as the registered office, principal place of business and mailing address of the businesses on your account, and on your website, invoices and stationery. Each use must be accurate and lawful for your business. That’s your responsibility.

3. What you must not use it for

You must not use the address or the service, or let anyone else use them:

  • for anything illegal, or to help anyone else break the law;
  • for fraud, scams, phishing or any other deceptive conduct;
  • to impersonate another person, business or government body, or to suggest you’re connected with a business you’re not;
  • to evade or frustrate creditors, liquidators, courts, regulators, tax authorities or law enforcement, including by making a business hard to find or serve with documents;
  • for illegal phoenix activity: moving assets out of a company to avoid its debts and continuing the business in a new company;
  • for nominee or shelf-company arrangements that hide who really owns or controls a business, including registering companies with nominee directors or shareholders who aren’t the real decision makers;
  • to provide an address service to others: you can’t resell, sublet, share or lend your address or suite;
  • for anyone subject to Australian sanctions, or to deal in goods or services that sanctions prohibit;
  • for a business we don’t accept (we tell you at sign-up if your business is one of these);
  • as a home address: for example, for a driver licence, electoral enrolment, government benefits or a personal bank account;
  • as the return address for bulk mail-outs, or in any way likely to cause large volumes of returned mail;
  • to send or receive anything to harass, threaten or abuse anyone; or
  • to carry on a regulated business without a licence or registration it needs.

4. Don't suggest you occupy premises

Your address is a mailbox reference (“Suite NNNNN”) and a mail service. It isn’t a room, office or premises. You must not suggest that you lease, rent or occupy premises at the address. For example, don’t:

  • describe the suite as your office, shopfront or premises;
  • invite people to visit you there, or advertise opening hours there;
  • publish photos of our building or rooms as your office; or
  • create a Google Business Profile or other map listing that shows our address as a location customers can visit, unless you’re on Nameplate and meet Google’s rules.

On Nameplate, you can tell clients they can meet you there by appointment. On Business Address and Pro, use a service-area profile, which hides your address.

5. Mail only for names on your account

We accept mail only for the business names and people listed on your account. You must not ask people to send mail to your suite for anyone else. You can add business names in your dashboard; we may need to check them first. Mail for a name that isn’t on your account is held while we ask you, then returned to the sender.

6. Items we can't accept

Don’t have any of these sent to your address:

  • Dangerous goods: anything on Australia Post’s dangerous and prohibited goods lists, including explosives, flammable liquids and gases, lithium batteries sent on their own, corrosives, toxic or infectious substances, and aerosols;
  • Cash, and other bearer items such as bearer bonds, precious metals or loose gemstones;
  • Perishables: food, plants, or anything that needs refrigeration or will spoil;
  • Live animals, or animal or human remains;
  • Weapons, including firearms, parts and ammunition, and anything else that needs a permit to possess;
  • Illegal drugs, or anything else illegal to import, possess or supply;
  • items that are leaking, smell, or are packed so badly they could hurt someone; and
  • parcels, freight or pallets, cash-on-delivery items, or deliveries that need you to show your own ID at the door. We handle letters and documents only.

If a prohibited item arrives, we may refuse it, return it to the sender, or dispose of it safely. If an item might be dangerous or illegal, we may open it, hand it to the police or another authority, and tell them who it was addressed to. We may charge you the reasonable cost of disposing of a hazardous item.

7. Visiting us: collection, meeting room and Nameplate

  • Collection. Bring photo ID. Only you and the people you’ve authorised in your dashboard can collect your items.
  • Meeting room. Use it for meetings during your booking, then leave it as you found it. Don’t leave belongings or signs, work there outside a booking, or record other people without their consent.
  • Clients. On Nameplate, clients visit by appointment only. You’re responsible for your guests while they’re with us.
  • Follow our staff’s reasonable directions, including about safety and security.

8. Treating our staff with respect

We won’t tolerate abuse, threats or harassment of our staff, other customers or visitors, in person, by phone or online.

9. What happens if this policy is breached

  • If a breach can be fixed, we’ll usually tell you what’s wrong and give you time to fix it, as our terms explain.
  • For serious breaches, such as illegal use, fraud, or false information, we may hold your mail, suspend your account or close it straight away.
  • We may report illegal activity to the police, AUSTRAC, ASIC or other authorities.
  • We may not be able to tell you why we’ve acted, if the law prevents it.

10. Reporting misuse

If you think someone is misusing our address, for example a business you don’t recognise using it, or mail being sent to it in your name, email [email protected]. We take every report seriously and keep reports confidential.
